Suppression List Policy
Effective Date: 1st August 2025
Review Cycle: Annually
1. Purpose
This policy ensures that individuals who unsubscribe or withdraw consent from receiving marketing communications are properly suppressed from future emails, in accordance with the UK GDPR and best practices.
2. Scope
Applies to all email contacts collected via our website (hosted on WIX), including shop customers, newsletter signups, and tour/event subscribers.
3. Policy Statement
We maintain a suppression list of contacts who have opted out of receiving marketing communications.
These contacts will be permanently excluded from all future email campaigns unless they explicitly re-subscribe.
Suppressed contacts will not be deleted immediately, but their data will be minimised (typically email address only).
4. Retention
Suppressed contacts will be retained for a maximum of 2 years to:
- Prevent re-contact due to accidental import or automation errors.
- Maintain evidence of past consent, if required for legal defence.
After 2 years of continuous inactivity, suppressed contacts will be anonymised or deleted.
5. Data Security
Suppressed contacts are stored in a separate tag/segment within our WIX database and are excluded from all automations and marketing flows.
6. Access & Control
Only authorised administrators can access or edit the suppression list.
7. Review
This policy will be reviewed annually or after any changes in email platform, data law, or business process.
